After creating a correspondence if the correspondence has to be sent for review before finally releasing it, the correspondence can be circulated among different resources through a workflow.
Prerequisites
For circulating a correspondence the following settings has to be configured in document genealogy default properties.
1.Enable the option Start Workflow.
2.Define a workflow team for the genealogy.
3.Select the option Assign workflow initiator as first stage user.
Circulating for review
A correspondence added under a genealogy for which the above said settings are defined is saved by the creator before circulating for review.
To circulate for review
1.After entering the correspondence properties On the tool bar click Save.
2.Once the correspondence is saved, Send button is displayed in the toolbar.
3.On the tool bar click Send.
Send window is displayed.
4.On the send window, select users for the next stage.
5.After selecting the users, click Send.
The correspondence is circulated for review to the users in next stage. The circulated correspondence would be available in the workspace of the recipient. From here the recipient opens the correspondence, reviews it and sends the correspondence to next stage or circulate the correspondence again.
NOTE: The circulated correspondence will be available in the draft folder of the workflow initiator.
Finally user in the last stage of the workflow releases or sends the correspondence after review. For a correspondence with a workflow which is in the last stage the following window is displayed.
NOTE: In the notification mail that is generated while sending documents from one stage to another, a link to open the document will be available in the mail content. The link will also be available when sending correspondences through workflow. On clicking this link correspondence will be opened.
