What is a Project ?
A project is a work or an activity that is planned to be completed within a specific time period and on its successful completion achieves a particular aim. A project from its start to completion involves various activities which should be properly planned, monitored and executed.
Project handling in SmartProject
Usually the customers or clients invite tenders for their work. Organizations which undertake large scale complex projects respond to this by submitting their bid. The project is awarded to the most competitive bidder.
The receipt of an order triggers a chain of activities in the organization. Processing of the order involves bulk volumes of inbound and outbound correspondences in the form of email messages and fax messages which has to be maintained and monitored from the initial stage of the project.
Further a project resource team has to be constituted which is a crucial task in the initial stage of the project. The project team is constituted from the available pool of resources. Once the project resources are finalized a project manager is identified from among the project resources. A project manager plays a vital role in a project. It is the project manager who co-ordinates between the different departments involved in the project and between the top level management and the project team.
Since all the activities related to commencement of a project involves laborious tasks, a flawless mechanism for planning and monitoring the initial stages in a project can reduce the risks faced by the project manager to a great extent. Against a Project Id all project related information such as Project team, Project Deliverables, Transmittal details, Approval status code, Revision series, Life cycle statuses, Templates etc. can be defined for a Project. This will be enforced on all downstream activities.
What is an Enquiry?
Usually a number of enquiries takes place prior to the award of a project. This may include enquires related to technical feasibilities, deliverables of the project etc.
The enquiry module helps in maintaining a proper record of these enquires for future analysis.
