Type Master

 

 

 

 

Transmittal Types are defined in WRENCH SmartProject to categorize different types of transmittals and submittals. Instead of defining different properties for a transmittal or submittal every time they are released, a transmittal or submittal type with predefined values can be assigned to the transmittal or submittal. An organization can create different transmittal type and store them as a master list. While sending the transmittal the required transmittal type is selected.

Opening Type Master

1.On Masters, window click Others.

2.On the Others window, select Type Master on the left pane.

Creating a transmittal type

To create a Transmittal Type,

1.On the Type Master Creation window, click Create.

2.Choose Transmittal from the drop-down list next to Category.

3.Enter the Code and Description.

4.Click the Browse button of Distribution Code to select a Distribution List defined in the Distribution List Master.

5.Select a Template Name from the drop-down list.

6.Enter the Ageing Days if the transmittal is for handling vendor documents. Ageing days is the default number of days a client can spend on reviewing a document.

Different settings that can be defined for the Transmittal type is explained in the following table.

Allow Multiple Transmittal for a Document Revision

If the check box next to this option is selected, transmittal can be released for the same version of the transmittal released document.

Client document number mandatory on transmittal release

The Check box next to this setting is not selected by default. If this option is selected, transmittal can be released only after providing client document number.

Attach Transmittal Coversheet in PDF.

If the checkbox next to this option is selected, the transmittal report is generated in PDF format.

Include Referenced Documents Details in Coversheet

If the checkbox next to this option is selected, referenced document details will be inserted below the main document details in the transmittal report.

Life Cycle Status mandatory/Issue Purpose Mandatory

If the checkbox next to this option is selected while creating a transmittal using this type, a Life Cycle Status is to be assigned before saving the transmittal.

Include Reference Document Details in Coversheet

If the checkbox next to this option is selected, while releasing a transmittal, details of reference documents will be included in the coversheet.

Send Transmittal Release Mails to Recipients (To) as B CC

If the checkbox next to this option is selected, notification mails will also be sent to recipients in B CC

Enable OTP Authentication in Transmittal Distribution Link

If the checkbox next to this option is selected, the user will receive an OTP to login in.

Automatic Live Commenting Session on Transmittal Save,

If the checkbox next to this option is selected live commenting session will be enabled when a transmittal is saved.

Override Recipients List

If the checkbox next to this option is selected, pre-defined list can be changed by the creator of the transmittal.

Limit Transmittal Accessibility to Sender and Recipients Origin

If the checkbox next to this option is selected, the transmittal accessibility will be limited to resources of origin Sender and Recipients.

Transmittal Coversheet is Mandatory

If the checkbox next to this option is selected, coversheet will be made mandatory while sending transmittals.

Send Transmittal Mail Automatically

If the checkbox next to this option is selected transmittal mails will be sent automatically.

Automatically Expire Transmittal Distribution Link

If the checkbox next to this option is selected, the transmittal distribution link will be expired automatically.

Issue Purpose of Documents and Transmittal must be the Same

If the checkbox next to this option is selected, the same issue purpose should be provided for both Documents and Transmittal.

All Documents in Transmittal must be of the Same Issue Purpose

If the checkbox next to this option is selected, all the documents in the Transmittal must have the same Issue Purpose.

Allow Transmittal Acknowledgement Only to Recipients

If the checkbox next to this option is selected, the transmittal acknowledgement will only be made available to Recipients.

To select a mail template

1Click on Mail Template Configuration. Mail Template Configuration window is displayed.

2Select a mail template and click OK to continue.

3Click OK to create a new Transmittal Type.

To create Submittal Type Master

1.Choose Submittal from the drop-down list next to Category.

2.Enter the Code and Description.

3.Click the Browse button of Distribution Code to select a Distribution List defined in the Distribution List Master.

4.Select a Template Name from the drop-down list.

5.Enter the Ageing Days. Ageing days is the default number of days a client can spend on reviewing a document.

6.Click on Mail Template Configuration, select a mail template and click Ok to continue.

To create Package Type,

1.On the Type Master Creation window, click Create.

2.Choose Package from the drop-down list next to Category.

3.Enter the Code and Description.

4.Click the Browse button of Distribution Code to select a Distribution List defined in the Distribution List Master.

5.Select a Template Name from the drop-down list.

6.Enter the Ageing Days. Ageing days is the default number of days a client can spend on reviewing a document.

Editing a Type Master

To edit a Type Master,

1.On the Type Master Creation window, select a Type Master and click Edit.

Transmittal / Submittal code cannot be edited. The description can be changed. Transmittal Types already in use cannot be deleted.

Removing a Type Master

To remove a Type Master,

1.On the Type Master Creation window, select a Type Master and click Remove.

2.Select Yes to delete the Type Master.
