Template Mapping Master

 

 

 

 

Transmittal details and meeting details can be mapped from SmartProject to an external report format. A typical template to which the user may map the details is an MS Excel File. The MS Excel file will contain the transmittal property details. In the case of Minute of Meetings, the excel will contain the meeting related properties.

Once the mapping properties are selected from SmartProject, the values for the properties will be mapped to the respective cells in the MS Excel template.

Opening Template Mapping Master window

To open the template mapping master window,

1.On the left pane, select Template Mapping Master.

The Template Mapping Master window is displayed.

Mapping transmittal details to an external template

To create a Template,

1.On the Template Mapping Master window, click Create.

The Create Template window is displayed.

2.Choose the Module from the dropdown list. The available options are Minutes of Meeting and Transmittal.

3.Enter the Template Name.

4.To add a template file, click the Browse button next to Template File. Click the remove button to remove the added file.

5.To download the selected template file, Click Download button next to Template File.

6.In Microsoft Excel, there are numerous sheets. To make it easier to organise and navigate, choose a sheet from Default Sheet Name dropdown list.

7.On the Header/Footer section, properties related to Projects and Transmittals are grouped below respective headings. When the headings are expanded the properties are listed.

8.Select the required items and click the forward arrow.

The item is moved to the selected items section.

1.Specify a Target Location, the cell address of the target sheet where the information must be displayed. To avoid errors, it is recommended to view the template file before specifying the location.

The Sheet Name is updated automatically and can be changed by selecting from the dropdown.

On the Details map section, properties related to Documents, General and Tasks are listed when expanded.

2.Select the required items and click the forward arrow.

The selected properties are moved to the selected items section.

3.Specify the Target Location and Sheet Name.

4.From the Details Map section, move the properties to Selected Items by clicking on the Forward arrow. Click the up and down arrow to sort the properties.

5.Click Save to continue.

Editing a Template

To edit a Template,

1.On the Template Mapping Master window, select a Template and click Edit.

Make the necessary changes.

2.Click Save to update the changes. 

Removing a Template

To remove a Template,

1.On the Template Mapping Master window, select the template and click on Remove.

A warning message is displayed.

2.Click Yes to remove the template.

Mapping meeting details to an external template

Templates can be created to map Minutes of Meeting details.

To create a meeting template,

1.Select the module as Minutes of Meetings.

2.Enter a Template Name.

3.Select the Template File from the location where it is saved.

4.Select the properties that must be displayed in the header and footer.

5.Select the meeting details that must be displayed in the template.

Insert New Row: Sometimes users are not sure if the values of the selected items can be accommodated in between the header and footer on the excel sheet. There are chances of the footer getting overwritten by the values. If the checkbox next to this option is selected, then for every selected item a new row is created in excel.

6.Click OK to save the template.
