Mail is the official communication that happens during the release of documents through transmittals, submittals, packages or correspondences between the stake holders. The information communicated through a mail might differ for different type of objects and as per the stakeholder’s requirement. WRENCH SmartProject provides a flexible environment for this, by providing a facility to define the mail content against each object type.
Opening Mail Template window
To open the Mail Template window,
1.On the Masters window, click Others and on the left pane select Mail Template.

Creating Mail Template
To create Mail Template,
1.On the Mail Template Creation window, click Create.

2.Enter values for the properties mentioned in the following table.

Choose the type from the drop-down list. The available options are Workflow and Non-Workflow.

Select an Object from the drop-down list. In the drop-down list items Transmittal, Submittal, Package, Timesheet, E-Tendering, Meetings, Project, Issues, Risks, Snags, Non-Conformance, Access Control and WRENCH SmartProject Correspondence are available.

Enter a unique code for the template to be defined.

Enter the description of the template to be defined.

Enter the subject for the mail.

Message
|
Enter the body of the mail to be displayed.
NOTE: In this message box, the selected 'Transmittal Details' and 'Document Details' will be included.

Include Object Details
|
Various object properties available can be selected for including in the message part of the mail. On clicking the down-arrow next to the "Properties" field, a drop-down menu will be displayed.

On clicking Insert the selected property will be inserted to the Message option.

Include Document Details
|
Various document properties available can be selected and sorted as per their order of appearance and can be included in the message part of the mail.

On clicking the selected document properties in the 'Available properties' option will be moved to the 'Selected properties' option.
On clicking the selected document properties will be removed from the 'Selected properties' option.
On clicking (Up arrow) and (Down arrow), the user can arrange the order of displaying the document properties in the 'Selected Properties' option.
If the object selected is transmittal, option to set an alignment for the selected properties will be available. Alignment can be selected from a drop-down list.
Click Add Sort to sort the properties for creating the table.
All the selected properties for the creating the table will be available here. After selecting an item, move the items using the up or down arrow to set a sorting order. Once sorting order is set, the mail template will be sorted based on this order.

3.Click Save to continue.
Editing a Mail Template
To edit a Mail Template,
1.On the Mail Template window, select a mail template and click Edit.
2.Click Preview to get a preview of the mail template.
Make necessary changes.
3.Click Update to continue.
Removing a Mail Template
To remove a Mail Template,
1.On the Mail Template window, select a mail template and click Remove.
A warning message is displayed.
2.On the message box, click Yes to delete the selected template.
